Integrate WP Travel Engine with WP Fusion
WP Fusion is a powerful WordPress plugin that connects your website with your CRM (Customer Relationship Management) system. It enables you to automate user management, marketing, and email campaigns by syncing your website data, such as purchases, sign-ups, and user activity, with your CRM in real-time.
Connect your tour bookings to your CRM
WP Fusion connects your WordPress website to your CRM. A CRM is the system where you store customer details and manage email follow-ups.
WP Fusion sends website activity to your CRM in real time. This can include purchases, sign-ups, trip bookings, and other customer activity.
WP Fusion supports more than 50 CRMs. These include Brevo, HubSpot, ActiveCampaign, MailerLite, Keap, Salesforce, Drip, and others.
What this helps you do
You can use the connection to:
- Add tags when someone books a trip, submits an inquiry, or leaves checkout without paying.
- Add or remove people from email lists based on the trip they purchase.
- Start email campaigns, reminders, or follow-ups when someone books a trip or completes a form.
- Group customers by trip type or booking status in your CRM.
- Send emails or offers based on the trips people viewed or booked.
For example, you could send a gear-rental reminder to customers who booked a mountain trek. You could also send a seasonal offer to people who viewed a day tour but did not book.
What you need before you start
Have these items ready:
- WP Travel Engine installed and activated.
- WP Fusion Pro installed and activated.
- A connected CRM, such as ActiveCampaign, FluentCRM, HubSpot, or Brevo.
A plugin is an add-on that gives your WordPress website extra features.
WP Fusion Pro is required for this integration. You can purchase WP Fusion Pro from the WP Fusion website.
Follow the setup guide
The interactive guide below shows the setup screens step by step.
Set up WP Fusion
Install WP Fusion Pro
Installing the plugin adds WP Fusion to your WordPress dashboard. You need it before you can connect your website to your CRM.
Open the plugin screen
From your WordPress dashboard, select Plugins. Then select Add New.
Upload the WP Fusion Pro file
Select Upload Plugin. Choose the WP Fusion Pro ZIP file on your computer. Select Install Now.
When WordPress finishes the installation, select Activate Plugin.
You should now see WP Fusion in your WordPress settings. Next, connect it to your CRM.
Connect WP Fusion to your CRM
Your CRM connection lets WP Fusion send booking and customer information to the right account.
Open WP Fusion settings
From the WordPress dashboard, select Settings. Then select WP Fusion.
Choose your CRM
Select Select your CRM. Choose your CRM from the WP Fusion compatibility list.
WP Fusion works with more than 50 CRMs. Choose the CRM you already use, or choose one that suits your business.
Use the CRM connection key
Enter the API key from your CRM account. An API key is a private code that allows WP Fusion to connect to your CRM.
Save the connection
Select Save Changes.
The example below uses Brevo. Brevo was formerly called Sendinblue. It offers a free plan and email automation features that can work well for a tour business.
You can use another CRM from the WP Fusion compatibility list. The connection steps may use a different name for the API key.
Choose the CRM contact list
A contact list is a group of people stored in your CRM. Choosing a list tells WP Fusion where to place new customers.
The General List is useful when you want all trip bookings in one central list. You can create separate lists later if you want to organize customers by trip.
Open General Settings
From the WordPress dashboard, select Settings. Select WP Fusion. Then select General Settings.
Choose a contact list
Select the list where you want WP Fusion to add new contacts.
Load your CRM lists
Select Refresh. WP Fusion loads the contact lists available in your CRM.
Save the list
Select Save Changes.
The selected list is now the general destination for new contacts. Next, you can choose different lists for individual trips.
Assign lists to individual trips
Assigning lists by trip helps you send more relevant messages. For example, you could place customers who booked a multi-day trek on a trek-specific list and send them a packing guide.
Open your trips
From the WordPress dashboard, select Trips. Then select All Trips.
Edit a trip
Select the trip you want to configure.
Find the WP Fusion settings
Scroll down to the WP Fusion settings section.
Choose the trip lists
Under Apply List, select the contact list or lists for this trip.
You can select more than one list. When someone books the trip, WP Fusion adds their details to every selected list.
Save the trip
Select Save.
You can create a separate list for each trip, destination, or type of customer. This helps you organize contacts, group customers by trip, and send offers that match what they booked.
Test the connection
A test booking confirms that the contact, trip details, tags, and custom fields reach your CRM.
Create a test booking
Book a trip on your website as a regular customer. Select a trip, enter the required details, and complete checkout.
Open your CRM contacts
Sign in to your CRM. Open Contacts or Audience.
Open the assigned list
Open the contact list you selected under Apply List for the trip.
Check the new contact
Find the test contact. Open the contact record and review the synced name, email address, tags, and custom fields.
Check your automations
If you set up an automation or tag-based action, confirm that it started as expected.
If the contact appears with the correct details, your main connection is working. You can now review which customer fields you want to share.
Sync customer data between your website and CRM
WP Fusion can sync data in both directions between WordPress user profiles, WP Travel Engine trip records, and CRM contact records. This keeps traveler information, booking details, and custom fields consistent between your website and CRM.
Map website fields to CRM fields
Field mapping tells WP Fusion which website field matches each CRM field. For example, you can map a booking phone number on your website to the phone field for that contact in your CRM.
Go to Dashboard. Select Settings, then WP Fusion, and then Contact Fields.
The left column shows the WordPress fields WP Fusion finds. The fields are grouped by plugin. The right column lets you match each website field to a custom field in your CRM.
If a new CRM field does not appear, start typing its name in the field selector. If you do not see a match, select Resynchronize in the dropdown. WP Fusion then loads the latest fields from your CRM.
Information you can send to your CRM
| Data type | Information sent to your CRM |
|---|---|
| Personal information | Full name, email address, and phone number |
| Booking details | Trip name, booking date, trip price, and booking status |
| Trip-level segmentation | Tags or list assignments based on the booked trip |
| Custom fields | Extra fields added through WP Fusion mapping or forms |
For example, your CRM could store the trip name, booking date, and booking status for a customer who booked a group trek. You could then use that information for reminders or follow-up emails.
Fix common setup problems
The contact did not show up in my CRM
Check that the API key is correct and saved in WP Fusion. If the contact still does not appear, reconnect your CRM in WP Fusion and complete another test booking.
The contact went to the wrong list
Open the trip in Trips, then review the WP Fusion settings section. Check the list selected under Apply List. Save the trip again after making any changes.
My CRM list does not appear
Create the contact list in your CRM first. Return to WP Fusion > General Settings. Select Refresh, then select Save Changes.
The booking details look wrong
Review the field assignments under Settings > WP Fusion > Contact Fields. Make sure each website field is matched with the correct CRM field.
My CRM will not connect
Some CRMs require IP whitelisting, extra API permissions, or OAuth setup. IP whitelisting means adding an approved server address to your CRM security settings. Check your CRM documentation or contact its support team for the connection requirements.
My test booking did not start an email
Check the contact record in your CRM first. Confirm that the expected tag or list assignment was added. If it was added, review the trigger and conditions in your CRM automation.
I am seeing test customers in my live CRM
Do not use live customer lists for testing. If your CRM supports staging API keys, use a staging key for your test website.
Test bookings can create real contacts and trigger real emails. Tell your team before testing, and remove the test contact from your CRM when you finish.
