How to Customize Header and Footer of Your Email Template
Add a logo to your email header and set custom footer text so booking emails match your brand.
Your booking emails can look more like your business by adding your logo to the header and writing your own footer text. This helps your emails feel more professional and makes them easier for travelers to recognize.
If you are new to WordPress, your WordPress dashboard is the main control area for your website. The menu you need is on the left sidebar.
Where can I access the Email Header and Footer settings?
You will find both settings in the same place inside WP Travel Engine. A plugin is an add-on that gives your WordPress site extra features, and WP Travel Engine is the plugin you are working in here.
Open your WordPress dashboard
Sign in to your WordPress site.
Look at the left sidebar. That is where the main website menus live.
Go to the email settings
Click WP Travel Engine in the left sidebar.
Then click Settings.
Open Emails.
Click Settings again.
Open the Branding section
Scroll until you see Branding.
This is where you can change the email header and footer.
Once you are there, you are ready to update your email look.
How do I add a logo to my email header?
A logo in the header helps travelers know the email came from your company. For example, if you run guided treks or day tours, your logo at the top of the booking email makes the message feel more trustworthy right away.
What you'll need before you start: have your logo image ready on your computer if you have not already uploaded it to WordPress.
Open the Branding settings
Go to WP Travel Engine on the left sidebar of your WordPress dashboard.
Then open Settings.
Click Emails.
Open Settings and find Branding.
Upload your logo
Look for the Header Image/Logo Upload field.
Click Upload.
This opens your WordPress media area, where images for your site are stored.
Choose an image
Pick your logo from the Media Library if it is already there.
If not, upload a new image from your computer.
After you select the image, it will be added to the logo field.
Save your changes
Click Save to apply the logo to your email header.
After saving, future booking emails will use the new logo.
That takes care of the top of the email. Next, you can update the text that appears at the bottom.
How do I customize the email footer text?
The footer is a good place for the details travelers may need later. You might add your tour company name, support contact, business address, or a short note such as seasonal office hours.
What you'll need before you start: decide what you want the footer to say so you can paste or type it in once.
Open the Branding settings
Go to WP Travel Engine on the left sidebar of your WordPress dashboard.
Then open Settings.
Click Emails.
Open Settings and go to Branding.
Find the Footer Text field
Look for the Footer Text field.
This is where the message at the bottom of your emails is stored.
Enter your footer content
Type the text you want to show at the bottom of your emails.
You can include your business address, customer support info, or a copyright note.
For example, a trekking company might add its office phone number and support email so guests can reach the team before departure.
Save your changes
Click Save to apply the new footer text.
After saving, future emails will show the updated footer.
Now your email branding will feel more complete. If you want to update it later, you can do that anytime.
Can I change the branding later?
Yes. You can update the header logo or footer text anytime by returning to the Branding section under email settings.
All future emails will reflect the updated branding. So if your business phone number changes or you refresh your logo for a new season, you can come back and update it.
Best practices for customizing email header and footer
A few small choices can make your emails look cleaner and easier for travelers to trust.
Keep optional polishing details in mind after you finish the main setup.
- Use a high-quality logo with a transparent background. PNG format works best.
- Keep the footer text short and professional.
- Include your business name, contact info, or a support link.
- If your business details change, update the footer text so customers always receive the latest information.
- Test your email template by sending a purchase receipt to yourself before going live.
Troubleshooting
If something does not look right, check these common fixes first.
Logo not displaying in emails: Make sure the image file size is optimized and publicly accessible. If you're using an SMTP plugin or transactional email service, check that images aren't blocked.
Footer text not updating: Confirm that you clicked Save Changes after editing, then test again by sending yourself a purchase receipt.
