How to View and Manage Trip Bookings

View all trip bookings, add a manual booking for offline customers, and export booking data as CSV from the WP Travel Engine Bookings section.

Overview

The Bookings section is where you keep track of every reservation on your site. After reading this page, you will know how to view bookings, update a booking when something changes, add a booking for an offline customer, and export your booking list for reports.

If you are new to WordPress, the dashboard is the main admin area you see after logging in. Most of what you need on this page is in the left sidebar of that dashboard.

View all bookings

Use the bookings list when you want to check who booked, what trip they chose, and how much they have paid so far.

What you'll need before you start: log in to your WordPress dashboard with access to WP Travel Engine.

Open the bookings list

In your WordPress dashboard, look at the left sidebar.

Click WP Travel Engine and then click Bookings.

Review the booking list

The list shows the main details for each booking in one place.

Each row includes the traveler's name, booking status such as Pending, Booked, or Canceled, booking date, trip date, trip name, total paid, remaining payment, and total cost.

This helps you get a quick picture of each reservation. For example, you can see if a guest for your Annapurna Base Camp trek has only paid a deposit and still has a balance due.

Narrow results with filters

Filters help when your booking list gets longer.

Use the Filters area above the list to search by trip name, booking status, or date.

For example, you can look only at canceled bookings for a day tour, or only bookings made during a busy holiday period.

Once you know how to find a booking, the next step is updating it when something changes.

Edit a booking's details

Open a booking when you need to correct something. That might be a payment update, a traveler detail, or a booking status change.

What you'll need before you start: know which booking you want to update so you can find it in the list faster.

Find the booking

Go to the Bookings list.

Locate the booking you want to change.

If needed, use the filters first to narrow the list.

Click Edit

On that booking's row, click Edit.

This opens the full booking record so you can make changes.

Update and save

Change the details that need attention.

Then save your changes.

For example, you might update a traveler's phone number, mark a booking as Booked after payment arrives, or adjust the payment amount after adding gear rental.

If you also take bookings outside your website, you can add those bookings here too.

Add a manual booking

Use a manual booking when a customer books offline. This is useful when someone confirms a trip over the phone, by email, or after a direct inquiry.

What you'll need before you start: have the customer's trip details, traveler information, and payment information ready before you open the form.

Start a new booking

In your WordPress dashboard, go to WP Travel Engine and then Bookings.

Click Add New Booking.

Fill in each booking tab

The booking form is split into tabs so you can enter one type of detail at a time.

Work through each tab below.

When everything is filled in, save the booking.

Trip Details tab

Choose the trip from the dropdown.

Then enter the Booked Date, Start Date, and End Date.

Add the Trip Code if you use one.

Set the number of travelers and the package name.

For example, if a guest calls to reserve your 5-day cultural tour, this is where you choose that tour and set the correct travel dates.

Traveler Details tab

Add each traveler's First Name, Last Name, Email, Phone, and Country.

Click + Add Traveler if the booking includes more than one person.

This is helpful for couple bookings, family trips, or small group departures where you need each guest listed.

Emergency Contact tab

Enter the emergency contact's First Name, Last Name, Relationship, Phone, and Country.

Click Add Emergency Contact if you need to add more than one contact.

This can be useful for longer trips like treks or multi-day adventure packages.

Payment Details tab

Record the Payment ID, Status, Payment Gateway, Amount, Currency, Transaction ID, and Gateway Response.

Use this tab to match what happened in real life.

For example, if a customer paid a deposit by bank transfer, you can record that payment and mark the right status here.

Billing Info tab

Enter the billing details for the booking.

Fill in the First Name, Last Name, Email, Address, City, and Country.

This helps keep your customer records complete if you need to send invoices or confirm payment details later.

Notes tab

Add internal notes for your team. Travelers do not see these notes.

You can use this area for details like airport pickup requests, food restrictions, or a reminder that the guest requested rented trekking poles.

Pricing Summary tab

Set the Pricing Category, Subtotal, Discount, Fees, Amount Paid, and Due Amount.

This tab helps you confirm the final numbers before you save.

For example, you can record a group discount, a seasonal rate, or extra fees for add-ons like gear rental.

Once every tab is filled in, click Save in the top-right corner to confirm the booking.

The booking will then appear in your main Bookings list like any other reservation.

After your bookings are in the system, you may want a copy outside WordPress for reporting or sharing.

Export bookings

Export your bookings when you want to review them outside your website. A CSV file is a spreadsheet file you can open in Excel or Google Sheets.

What you'll need before you start: decide whether you want all bookings or only a filtered set, such as one trip, one date range, or one booking status.

Open the bookings list

Go to WP Travel Engine and then Bookings in the left sidebar of your WordPress dashboard.

Open the export window

Look to the top-right corner of the page.

Click Export Bookings.

Choose your filters

In the popup window, choose the filters you want.

You can set a Date range, pick a Trip Name, and choose a Booking Status such as Pending, Booked, or Canceled.

For example, you might export only confirmed bookings for a spring trekking package, or only canceled bookings for a weekend day tour.

Download the CSV file

Click Export.

Your filtered booking data downloads as a CSV file.
